Integration · SimplyBook.me

Recupra + SimplyBook.me: a cancelled booking becomes a filled one.

SimplyBook.me runs the calendar for independent health and wellness practices in dozens of countries. Recupra connects with three credentials, reads the timeline SimplyBook already publishes, and calls the right client when a booking falls through.

No call. No credit card. Plug-and-play setup in 5 minutes.

The integration

How Recupra works with SimplyBook.me

SimplyBook.me is a booking platform rather than a clinical record, and it is built as a small core plus a shelf of custom features that each account switches on for itself. Two accounts in the same specialty can therefore behave differently, which is the single fact that shapes this integration.

Recupra works against a stock account. It reads the services your company publishes, the providers linked to them, and the hours you keep, then offers only times SimplyBook itself would accept a booking for.

What frees a slot in SimplyBook.me

  • Cancelled

Every status here triggers a recovery call by default.

SimplyBook.me at a glance

Who runs it
Independent health and wellness practices worldwide, most of them outside the United States
Open times
Read from the vendor's open-slot API
Cancellation reaches us
Daily sweep, up to 24 hours
Authentication
Company login, admin user login, and an API user key

The arithmetic

In an owner-run practice, the receptionist is the owner

SimplyBook.me sells to practices small enough that nobody is paid to sit by the phone. That changes which hour a cancellation actually costs you.

Who answers the phone
Usually the person who also treats the patient
When a cancellation arrives
During a treatment, so nobody sees it
What refilling the slot takes
Calls the owner makes after the last patient leaves
What the empty hour costs
The fee, plus the hour spent chasing it

So the saving is not only the recovered booking. It is the evening the owner stops spending on the phone, which is the same argument the pricing page makes on outcomes rather than on seats.

Side by side

SimplyBook.me is a shelf of features. Recupra needs none of them.

What SimplyBook.me offers as custom features

SimplyBook.me describes its custom features as additional functionality a business turns on for itself. Several of them touch exactly this problem.

Approve Bookings holds a client-made booking until you accept it. Status lets you mark a booking as arrived or paid. Book Soon Notification messages a client a set number of days after their appointment, and Daily Report emails you the day's bookings and cancellations.

They are genuinely useful. They are also each a setting, and a stock account has none of them switched on.

What Recupra adds

Recupra asks nothing of your feature shelf. It reads the timeline slots endpoint that every account has, and it works from the one status SimplyBook writes on its own, which is the cancellation.

The difference in kind is the outreach. A daily report tells you a booking fell through. A notification tells a client to come back some day. Recupra places the call that turns that cancelled Tuesday into a booked Tuesday, before the day is gone.

Vocabulary

Recupra speaks SimplyBook.me

Your agent uses the words your staff already use, so nothing on a call sounds translated.

Client Patient
SimplyBook holds one name per client rather than a first and last pair.
Service Appointment type
Recupra reads the catalog, so an offer is always bookable.
Provider Provider
A service only shows open time where a provider is linked to it.
Company login Your account
It names your tenant, and it is the first of the three credentials.

Setup

Connecting SimplyBook.me takes one sitting

  1. 01

    Collect three values

Your company login, the login of an Admin user, and an API user key beginning with api_user_key_. SimplyBook mints the key under Account info, For developers, User Api Keys.

  2. 02

Link each service to its providers

SimplyBook reports open time for a service only where a provider is linked to it and your company publishes hours. A service nobody is linked to reads as fully booked.

  3. 03

    Connect and go

SimplyBook runs no separate sandbox host, so a trial account is an ordinary account and the credentials you test with are the ones you keep.

On the phone

The same call, in the language the client booked in

SimplyBook.me practices span dozens of countries, so the agent takes the call in the language your practice runs in.

  1. Agent

Hello, this is the clinic. A booking freed up on Tuesday morning with the provider you usually see. You had asked for something sooner.

  2. Client

Tuesday morning could work. What time?

  3. Agent

Ten fifteen, or eleven thirty if you would rather come later. Both are with the same provider.

  4. Agent

Ten fifteen on Tuesday, booked. You will get the usual confirmation from the booking system.

The agents

Every agent runs on SimplyBook.me

The roster does not change per EHR. Whichever system you run, you choose which of these to turn on.

Waitlist Agent

A slot frees up and the agent calls the best-matched patient from your list, then books them in.

No-Show Agent

A patient misses a visit and the agent calls inside your window, finds out why, and reschedules.

Reminder Agent

Upcoming visits are confirmed on the channel each patient answers, so the miss surfaces early.

Intake Agent

A new inquiry gets a call back in minutes, qualified and booked into a real opening.

Follow-Up Agent

A patient who leaves without the next visit in their plan booked is called while the plan is still open.

Reactivation Agent

Dormant patients get a warm check-in calibrated to their care history, not a sales pitch.

Admin Agent

Reschedules, hours, and routine questions are resolved on the inbound line without staff.

The platform

Outcome-based, HIPAA-compliant, no migration

Recupra runs a diagnostic on your real clinic data, shows where revenue is leaking in dollars, and lets you activate the agents you want, paying only when they recover real revenue. See the outcome-based pricing, read how it works, or compare every EHR integration.

SimplyBook.me stays the system of record. Recupra never migrates your data.

SimplyBook.me FAQ

Frequently asked questions

How do I connect SimplyBook.me to Recupra?

Three values: your company login, the login of an Admin user, and an API user key from Account info, For developers, User Api Keys. An Admin user is required because lower roles cannot read the whole calendar.

Why does Recupra see no open times for one of my services?

SimplyBook reports open time for a service only where a provider is linked to it and your company publishes working hours. Link the provider to the service and the slots appear.

Do I need to switch on any SimplyBook custom features?

No. Recupra reads the timeline slots endpoint and the cancellation status that every account has, so it works on a stock account with nothing extra enabled.
