Integration · Cliniko
Recupra + Cliniko: the did-not-arrive becomes a rebooked patient.
Cliniko is the schedule for a great many physiotherapy, chiropractic, and allied-health clinics. Recupra connects with one API key, reads Cliniko's available-times endpoint, and books recovered patients straight back in.
No call. No credit card. Plug-and-play setup in 5 minutes.
The integration
How Recupra works with Cliniko
Cliniko is practice management for allied health, and its patient list turns over faster than most clinical specialties: a course of physiotherapy ends, and unless someone calls, the patient simply stops coming. That makes both cancellation backfill and dormant-patient reactivation unusually valuable here.
Cliniko has no status column on an appointment. Recupra synthesizes one from the appointment's own lifecycle timestamps and flags, which is why the trigger options read as Cancelled and Did not arrive rather than as strings Cliniko hands back.
What frees a slot in Cliniko
- Cancelled
- Did not arrive (optional)
A status without a label triggers a recovery call by default. The ones marked optional stay off until you turn them on.

The arithmetic
Price the plan of care, not the visit
Allied health sells an episode. A patient who stops attending in week two does not cost you one visit, they cost you the rest of the plan.
- Typical appointment
- 30 to 45 minutes with one practitioner
- Typical episode
- A plan of care measured in visits, not in one booking
- What a DNA in week two signals
- An episode that is about to end early
- What early self-discharge takes with it
- Every authorised visit still unbooked
Research on outpatient attendance found no-show rates predicted premature discharge, which is why the physical therapy numbers treat a missed visit as a retention warning rather than a lost fee.
Side by side
Cliniko gives you the wait list. Recupra makes the calls.
What Cliniko does on its own
Cliniko has a wait list on the Appointments page. You add a patient to it, then filter the list by practitioner, business, and appointment type to find who suits an opening.
Its reminders are strong and well configured: email or SMS, anywhere from one to nine days ahead, with a separate reminder time and a per-appointment-type template, plus an emailed confirmation a couple of minutes after booking.
What Recupra adds
Both of those hand the work to a person. The wait list tells your receptionist who to ring. The reminder tells the patient about a visit they were probably going to attend anyway.
Recupra picks up at the point the person runs out of time. It rings the filtered wait list when a slot frees, it rings the patient who did not arrive, and it rings the patient whose plan of care has quietly stopped, all inside the calling window and the timezone you set.
Vocabulary
Recupra speaks Cliniko
Your agent uses the words your staff already use, so nothing on a call sounds translated.
- Patient → Patient
- Cliniko keeps the clinical noun, and so does the agent.
- Practitioner → Provider
- The physio or chiro a patient books with by name.
- Business → Location
- A Cliniko account can hold several, and the wait list filters on it.
- Did not arrive → No-show
- Cliniko's own status. The agent's recovery rules key on it.
Setup
Connecting Cliniko takes one sitting
- 01
Paste one API key
Cliniko issues the key from your own user settings, and the key's suffix names your shard, so there is no region or environment to choose.
- 02
Check your online-bookings settings
Cliniko's available-times endpoint answers according to your online-bookings configuration. If a service is not bookable online, Recupra will not see open time for it.
- 03
Choose your trigger
Cancelled fires a backfill by default. Did not arrive is offered and stays off until you enable it.
On the phone
A wait list call for a named practitioner
A Thursday morning slot frees with the physio this patient has been waiting for. Cliniko's wait list already records that preference.
- Agent
Hi, this is the clinic. You are on our wait list to see your physio sooner, and Thursday at nine forty has opened up. Would that suit you?
- Patient
Thursday morning is hard. Do you have anything after five?
- Agent
I have next Tuesday at five fifteen with the same physio. Shall I hold that instead?
- Agent
Booked for Tuesday at five fifteen. I have noted that evenings suit you better, so we offer those first from now on.
The agents
Every agent runs on Cliniko
The roster does not change per EHR. Whichever system you run, you choose which of these to turn on.
Waitlist Agent
A slot frees up and the agent calls the best-matched patient from your list, then books them in.
No-Show Agent
A patient misses a visit and the agent calls inside your window, finds out why, and reschedules.
Reminder Agent
Upcoming visits are confirmed on the channel each patient answers, so the miss surfaces early.
Intake Agent
A new inquiry gets a call back in minutes, qualified and booked into a real opening.
Follow-Up Agent
A patient who leaves without the next visit in their plan booked is called while the plan is still open.
Reactivation Agent
Dormant patients get a warm check-in calibrated to their care history, not a sales pitch.
Admin Agent
Reschedules, hours, and routine questions are resolved on the inbound line without staff.
The platform
Outcome-based, HIPAA-compliant, no migration
Recupra runs a diagnostic on your real clinic data, shows where revenue is leaking in dollars, and lets you activate the agents you want, paying only when they recover real revenue. See the outcome-based pricing, read how it works, or compare every EHR integration.
Cliniko stays the system of record. Recupra never migrates your data.
Cliniko FAQ
Frequently asked questions
How do I connect Cliniko to Recupra?
One API key from your Cliniko user settings. The key's suffix identifies your shard, so there is no region or environment to select.
Why does Recupra see no open times for one of my services?
Cliniko's available-times endpoint follows your online-bookings settings. If a service is not bookable online in Cliniko, it reports no availability, and Recupra will not offer it.
Can Recupra confirm a Cliniko appointment?
Cliniko records no confirmation flag, so Recupra writes an appointment note with the outcome instead. The note lands in the record your practitioners already read.
