Integration · athenahealth
Recupra + athenahealth: a cancelled slot goes back to a patient, not back to the grid.
athenahealth treats an open slot as a real object on the schedule. Recupra reads that inventory for each department, calls the patient who fits it, and books them onto the slot itself, so nothing it offers is a guess.
No call. No credit card. Plug-and-play setup in 5 minutes.
The integration
How Recupra works with athenahealth
athenahealth runs the schedule for a large share of ambulatory medical groups in the United States, from independent practices to multi-specialty networks. Its API is practice-scoped and older than FHIR, and its scheduling model is unusual: an open slot exists before anybody books it, and booking places a patient onto that slot rather than creating an appointment from nothing.
That is good news for an outreach agent, because the open times Recupra offers are the practice's own inventory. The trade is the status list. athenahealth records a cancellation, but it has no no-show status at all, which our guide to filling cancelled appointments in athenahealth walks through in detail. Recupra works from the cancellation and stays honest about the rest.

The arithmetic
What a cancelled slot costs a medical group
An athenahealth practice usually bills insurance per visit, across several providers and departments. A cancellation does not end the day's cost, it only ends the day's revenue for that slot.
- Typical appointment
- 15 to 40 minutes with one provider
- How the slot is paid
- Per visit, usually through insurance
- What the practice pays either way
- Provider, staff, and the room
- Where a freed slot usually ends up
- Empty, because nobody had time to call
Multiply your weekly cancellations by your average reimbursement per visit and the share you could have refilled. The no-show and cancellation math works the same way for every provider on the schedule.
Side by side
athenahealth is adding a waitlist. Recupra adds the phone call.
What athenahealth is building on its own
In February 2026 athenahealth announced Waitlist Scheduling, which uses AI to spot slots opened by cancellations and texts patients to fill them, alongside two-way texting and a virtual front-desk assistant for inbound calls.
Those tools live inside athenaOne and lean on text and on the patient reaching out. They are a sensible default for a practice that wants everything in one vendor.
What Recupra adds
A text offer works for the patient who answers texts. Recupra places an outbound call instead, to the patient whose history and preferences fit the open slot, and moves down the list when someone declines.
It also does the rest of the outreach a schedule needs: reminders that confirm on the channel each patient answers, a call back to a new inquiry in minutes, and a check-in with patients who have quietly stopped booking.

Vocabulary
Recupra speaks athenahealth
Your agent uses the words your staff already use, so nothing on a call sounds translated.
- Department → Location
- Open slots are searched per department, and the department sets the local clock.
- Open slot → Open time
- A real row on the schedule. Recupra books the patient onto it.
- Appointment type → Appointment type
- Read from athenahealth, so an offer is always a type the slot accepts.
- Practice ID → Your account
- Every API path carries it, which is why it is a connect field.
Setup
Connecting athenahealth takes one sitting
- 01
Create an application in the Developer Portal
athenahealth issues a client ID and secret for machine access. Recupra encrypts both and exchanges them for a token on every call, so no staff login is shared.
- 02
Enter your practice ID and environment
Every athenahealth path is scoped by practice, so Recupra needs your athenaNet practice ID. Pick preview or production: athenahealth runs them as separate tenants with the same credential shape.
- 03
Cancelled is the trigger
athenahealth's own status list has a cancellation and no no-show, so Cancelled is the one status that frees a slot. A practice that cancels missed visits sees those slots refilled too.
On the phone
Refilling a department's open slot
A patient cancels a Wednesday morning visit. The slot goes back to open inventory in that department, and Recupra calls a patient who asked to be seen sooner.
- Agent
Hi, this is the clinic. You mentioned you wanted to come in sooner, and Wednesday at nine twenty just opened with your provider. Would that work?
- Patient
Wednesday is good, but is it at the same office as last time?
- Agent
Yes, same office, same provider. I can put you in at nine twenty now.
- Agent
You are booked for Wednesday at nine twenty. Your later appointment has been released so someone else can use it.
The agents
The agents that run on athenahealth
athenahealth records no status for a missed visit, so the No-Show Agent stays off here. You choose which of the rest to turn on.
Waitlist Agent
A slot frees up and the agent calls the best-matched patient from your list, then books them in.
Reminder Agent
Upcoming visits are confirmed on the channel each patient answers, so the miss surfaces early.
Intake Agent
A new inquiry gets a call back in minutes, qualified and booked into a real opening.
Follow-Up Agent
A patient who leaves without the next visit in their plan booked is called while the plan is still open.
Reactivation Agent
Dormant patients get a warm check-in calibrated to their care history, not a sales pitch.
Admin Agent
Reschedules, hours, and routine questions are resolved on the inbound line without staff.
The platform
Outcome-based, HIPAA-compliant, no migration
Recupra runs a diagnostic on your real clinic data, shows where revenue is leaking in dollars, and lets you activate the agents you want, paying only when they recover real revenue. See the outcome-based pricing, read how it works, or compare every EHR integration.
athenahealth stays the system of record. Recupra never migrates your data.

No. athenahealth has no no-show status, so a missed visit reaches Recupra as a cancellation or not at all. The No-Show Agent stays off rather than guessing, and cancellations still trigger a backfill.
Does Recupra confirm appointments in athenahealth?
athenahealth's status list has no confirmed state, so Recupra writes the patient's confirmation as an appointment note your staff can read in the chart.
How quickly does Recupra see an athenahealth cancellation?
On the daily reconciliation sweep, so detection can lag up to 24 hours. athenahealth's change feed is a queue a subscriber drains rather than a webhook it pushes.
