Integration · Acuity Scheduling
Recupra + Acuity Scheduling: the opening gets a call, not just a text.
Acuity is the scheduling page behind many solo and small practices. Recupra connects with two values, reads the same open times your clients see online, and calls the right client when an appointment is canceled.
No call. No credit card. Plug-and-play setup in 5 minutes.
The integration
How Recupra works with Acuity Scheduling
Acuity Scheduling is an online scheduler rather than a clinical record. Therapists, dietitians, and other solo practitioners use it to publish appointment types, take intake forms, and let clients book themselves.
Recupra reads Acuity's availability endpoint, the same one your client scheduling page uses, so a time it offers is a time a client could book. Acuity identifies a client by name and email rather than by an ID, and it requires an email on every appointment, so a client with only a phone number can be called but needs an email added before Recupra can book them.
What frees a slot in Acuity Scheduling
- Canceled
- No-show (optional)
A status without a label triggers a recovery call by default. The ones marked optional stay off until you turn them on.

The arithmetic
When you are the only provider, every gap is yours
An Acuity practice is often one person with one calendar. A canceled session is an hour that nobody else can fill, and chasing a replacement means time away from clients.
- Typical appointment
- 45 to 60 minutes, often a recurring session
- Who manages the calendar
- Usually the practitioner
- When a cancellation lands
- During a session, so it waits until evening
- What a lapsed recurring client costs
- Every session they would have booked
A recurring client who drifts away costs far more than one canceled hour, which is why patient reactivation sits next to the backfill for most solo practices.
Side by side
Acuity texts the waitlist. Recupra calls the right client.
What Acuity does on its own
Acuity offers a waitlist on its Standard and Premium plans. Clients join from your scheduling page with preferred dates and times, and when an appointment is canceled or rescheduled, every client with a matching preference gets a text with a booking link.
Whoever completes the booking first gets the time. The rest of the list is left with a link to a slot that is already gone.
What Recupra adds
Recupra calls one client at a time, starting with the best fit, and books them while they are on the phone. A decline moves the call to the next client instead of a race between them.
It also reaches clients who never joined a waitlist: the one who canceled last month and has not rebooked, or the recurring client whose sessions quietly stopped.
Vocabulary
Recupra speaks Acuity Scheduling
Your agent uses the words your staff already use, so nothing on a call sounds translated.
- Client → Patient
- Acuity's noun, and the one the agent uses on the call.
- Calendar → Provider
- Each Acuity calendar is one practitioner's schedule.
- Appointment type → Appointment type
- Read from Acuity, so an offer always has a real duration.
- Label → Not used
- Acuity labels color an appointment, not a client, so they are not a contact rule.
Setup
Connecting Acuity Scheduling takes one sitting
- 01
Copy your user ID and API key
Both sit under Integrations, then API, in Acuity. The API is a Premium-plan feature, so check your plan first.
- 02
Make sure clients have an email
Acuity requires an email on every appointment. Recupra can call a client who has only a phone number, but it cannot book them until an email is added.
- 03
Choose your trigger
Canceled triggers a backfill by default. No-show is offered and stays off until you turn it on.
On the phone
Offering a canceled session to the best-fit client
A Tuesday evening session is canceled. The agent calls the client who asked for evenings, before anyone else on the list.
- Agent
Hi, this is the practice. You had asked for an evening session, and Tuesday at six just opened. Would you like it?
- Client
Yes, that is much better than my Friday slot.
- Agent
I can move you from Friday to Tuesday at six, so Friday is free for someone else. Shall I do that?
- Agent
Done. You are booked Tuesday at six, and Acuity will email you the confirmation.
The agents
Every agent runs on Acuity Scheduling
The roster does not change per EHR. Whichever system you run, you choose which of these to turn on.
Waitlist Agent
A slot frees up and the agent calls the best-matched patient from your list, then books them in.
No-Show Agent
A patient misses a visit and the agent calls inside your window, finds out why, and reschedules.
Reminder Agent
Upcoming visits are confirmed on the channel each patient answers, so the miss surfaces early.
Intake Agent
A new inquiry gets a call back in minutes, qualified and booked into a real opening.
Follow-Up Agent
A patient who leaves without the next visit in their plan booked is called while the plan is still open.
Reactivation Agent
Dormant patients get a warm check-in calibrated to their care history, not a sales pitch.
Admin Agent
Reschedules, hours, and routine questions are resolved on the inbound line without staff.
The platform
Outcome-based, HIPAA-compliant, no migration
Recupra runs a diagnostic on your real clinic data, shows where revenue is leaking in dollars, and lets you activate the agents you want, paying only when they recover real revenue. See the outcome-based pricing, read how it works, or compare every EHR integration.
Acuity Scheduling stays the system of record. Recupra never migrates your data.
Acuity Scheduling FAQ
Frequently asked questions
What do I need to connect Acuity Scheduling?
Your numeric user ID and API key, both under Integrations, then API, in Acuity. The API is a Premium-plan feature.
Does Recupra offer the same times my scheduling page shows?
Yes. Recupra reads Acuity's availability endpoint, the one your client scheduling page uses, so every time it offers is one a client could book online.
Can Recupra confirm an Acuity appointment?
Acuity has no confirmed state on an appointment, so Recupra adds the confirmation to the appointment notes instead.
